SUMMARY:
We are looking for a dedicated individual with a can-do attitude to join our team as Office Manager. We are seeking an efficient office manager with a skillset in conducting and managing the daily operations of our ARRAY offices, which includes, but is not limited to serving the needs of our professional staff, working with vendors, handling production tenant needs, and driving all necessary tasks to ensure our offices are always running smoothly. If you are someone that knows the value of elbow grease and believes operational efficiency and detailed, ongoing maintenance are the backbones of a well-oiled machine, then this might be the position for you.
RESPONSIBILITIES:
In this position you will be expected to:
- Work under the direction of the President of ARRAY to realize the seamless execution of ARRAY’s mission.
- Analyze and manage all property financial matters such as vendor bids, contracts, and payments
- Inspect properties and arrange for maintenance and repairs for items such as HVAC systems, plumbing, lighting and electrical work, etc., while ensuring work is completed to a high standard of satisfaction
- Arrange contracts for maintenance, trash removal, landscaping, security and other ongoing services, plus managing issues and follow ups with these service providers where appropriate
- Proactively drive weekly, monthly and quarterly inventory tasks, such as, but not limited to, office supply and furniture inventory, IT and other technology related support, COVID protocols and related PPE materials, etc.
- Track and prepare all maintenance and property management reports
- Act as a liaison between the needs of ARRAY Creative Campus members, vendors and ARRAY leadership for key office needs
- Ensure that we meet legal requirements and health and safety standards
- Attend film programs and other events to network and stay abreast of happenings in the field.
- Engage and collaborate with a wide variety of stakeholders, including internal staff, industry experts, audience members and external partners.
- Work as part of a team to brainstorm and activate any programmatic ideas that fall under the pillar’s domain.
- Open to working extended hours with short notice.
QUALIFICATIONS:
- A minimum of 3-4 years work experience preferably in a film festival, special events, TV/film production/studio environment.
- Previous history of full-time work experience preferred.
- Solid strategic planning, organizational, and project management skills.
- Exceptional written and verbal communication skills, superior presentation skills, and sound judgment.
- Ability to thrive in an entrepreneurial, creative, collaborative, and nimble environment.
- Proactive, results oriented attack of assigned projects.
- Ability to problem-solve to find effective solutions and proactively anticipate potential issues
- Excellent customer service, interpersonal skills, negotiation skills, and attention to detail
- Resourceful and comfortable working independently and within a team in a proactive and productive manner
- Experience with executing technical and operational event logistics is a plus
