SUMMARY:
ARRAY is looking for dynamic, self-starting individuals to provide support for Senior Executives as senior level Executive Assistants. Based at our Los Angeles campus in Historic Filipinotown, our Executive Assistants will be highly efficient multi-taskers who will maintain status as the central brain for the executive calendars while assisting with all administrative duties of the assigned office. This is a unique experience to observe and learn various facets of film and TV industry and non-profit arts management.
RESPONSIBILITIES:
- Manage a complex calendar including scheduling and confirming meetings both internally and externally.
- Manage daily schedule with consistent
- Prepare for all meetings/conference calls including research, as appropriate, pertaining to topics and meeting participants in advance
- Answering phones and maintaining contacts while track/log incoming and outgoing calls and
- Coordinate travel arrangements, both domestically and
- Heavy communication internally and
- Work collaboratively with teams across all companies and
- Proactively search for ways to manage use of schedules more
- Processing expense reports, generating purchase orders and processing invoices
- Conducting market research
- Preparing presentations
- supplies are fully stocked at all times and
- Managing the flow of information/communication between the Senior Executive and other internal ARRAY departments
- May be required to be accessible and respond to emails on weekends and evenings particularly when the executives are traveling and during film production, product launches and releases
QUALIFICATIONS:
- 3-5 Years as an executive assistant supporting SVP-level or above Executive or Producer
- Ability to handle a very active desk supporting several simultaneous projects, productions and personal commitments
- High attention to detail, strong communication skills and must have superb grammar
- Proficient in Microsoft Office including Outlook, Word, GOOGLE, Powerpoint and Excel
- Ability to respond after hours for important, timely or urgent matters
- Team-player who operates in a fast paced team-oriented setting
- Ability to be discrete and maintain confidential information
- Understanding of how to prioritize and respond accordingly
- Strong interest in film, television and non-profit arts as well as a passion for inclusive representation of underrepresented communities on screen
- Must have working knowledge of technology and attuned to technological changes
- Must be based in Los Angeles
